Exhibitions + Programs Coordinator

BRECKENRIDGE, CO

General Purpose of Position:

The Exhibitions + Programs Coordinator supports all aspects of exhibition planning and implementation and organizes logistics related to Breck Create programs on-campus, online and off-site, led by both the Arts Education Manager and the Senior Director of Programs + Campus Experience. The role is responsible for coordinating materials and the scheduling of spaces on the Arts District Campus, which includes five discipline-specific art studios, two guest artist live/work studios, a multimedia exhibition space, and other Breck Create-managed cultural venues. The Exhibitions + Programs Coordinator is a key member of the Programs team who frequently works with Artists, Lead-Preparator, Installation Assistants, part-time Studio Technicians and Patron Services Specialists as well as contracted instructors. This position is part of a dynamic, inclusive, and creative team who are committed to creating memorable art experiences for all.

This role requires in-person hours Tuesday-Saturday and will include some evenings and Sundays based on program and overall schedule and needs.

Principal Duties and Responsibilities:

Arts District Support

  • Ensure the successful daily execution of exhibitions and programs across the Arts District Campus (ADC).
  • Serve as instructors’ point of contact in cases of urgency or emergency.
  • Create and maintain Outlook calendars for all upcoming campus programs (exhibitions, classes, field trips, special events, etc.) Proactively identify and communicate scheduling conflicts to the Programs team.
  • Manage the ordering, organizing, and tracking of materials for 5 studios and 2 guest artist residences, exhibitions, openings and other special events. Create and maintain materials-safety information and cleaning checklists for each studio.
  • Coordinate cleaning and upkeep of guest artist residences and studios with Facilities Manager + Lead Preparator to ensure that they are prepared for each artist’s arrival.
  • Coordinate cleaning and upkeep of ADC studios with Facilities Manager + Lead Preparator to ensure that they are prepared for ADC programming. (i.e. regular campus walkthroughs).
  • Cultivate professional relationships with Visiting Artists, Instructors, Patron Services Specialists, and Studio Technicians to ensure effective operations. Communicate regularly with Visiting Artists and Instructors regarding materials needs.
  • Support in exhibition planning and implementation related tasks including but not limited to: artist correspondence and scheduling, artwork shipping arrangements, tracking of exhibition checklists, securing artist materials and supplies, artist travel logistics, processing invoices, gallery prep, and exhibition planning timeline tracking.
  • Assist with the creation and coordination of departmental presentations, press materials, and written information pertaining to departmental projects; conduct research when requested.
  • Support the oversight and care of the Town of Breckenridge’s Public Art Collection on tasks including but not limited to the following: artwork acquisition; timelines, production and process for updating artwork labels and audio tour content; support on artwork conservation reviews and maintenance.
  • Assist with the installation and de-installation of artwork both on- and off-campus including packing and unpacking, condition reports, setup, label installation and cleanup.
  • Monitor rotating exhibitions in Old Masonic Hall. Work with the Lead-Preparator to ensure the exhibition space and artwork elements are always presented as the artist intended. Identify potential safety threats to the gallery and report them to Facilities Manager + Lead Preparator. Ensure gallery documents and brochures are stocked.
  • Assist with Artist orientation, hospitality, and administration for exhibiting Artists and Artists-in-residence.
  • Provide on-site support for all ADC programming, including but not limited to opening receptions, Artist talks, festivals, field trips, etc.
  • Order publications, subscriptions and departmental supplies
  • Help to coordinate events and fundraising activities.
  • On an as-needed basis, check in workshop participants using Breck Create waivers and direct them to the appropriate Arts District studio.
  • Provide additional support as assigned.

 Digital Systems

  • Become proficient in all aspects of Audience View, BC’s ticketing software.

 Staff Coordination

  • In collaboration with the Arts Education Manager and the Senior Director of Programs + Campus Experience, schedule and organize semesterly info sessions with Patron Services, Studio Technicians, and Instructors.
  • Communicate closely with the Patron Services team on participant and instructor material needs that are purchased on site.
  • Schedule Installation Assistants, interns and support staff as needed

 Qualifications & Skills

  • Bachelor of Fine Arts (BFA) degree, or BA in Art History and/or Museum Studies, or equivalent experience in a gallery or arts organization preferred
  • Knowledge of exhibition planning processes and best practices
  • Excellent communication, interpersonal and writing skills and an ability to work collaboratively and create consensus
  • Experience with software: Microsoft Office Suite, and content management systems, along with ability to learn additional team-management software.
  • Meticulous organization skills.
  • Technical knowledge of the equipment and processes used in various art studios is preferred
  • Self-motivated, solutions-oriented, proactive team player able to manage multiple, sometimes competing, demands in a calm and focused manner
  • Creative problem-solver

 Preferred Qualifications

  • Proficiency in Spanish
  • Customer service and supervisory experience
  • Project management experience
  • knowledge of SketchUp, or other 3-d design software preferred
  • Knowledge of contemporary art and processes used in various art studios
  • Experience working with artists and teaching artists

Physical Requirements

Although primarily administrative, this position requires walking, stooping, bending, reaching, and standing for short periods of time. Must be able to lift and carry items weighing up to 50 lbs. This position also requires hearing to accurately understand information at normal spoken word levels in a potentially loud environment and visual observation for reviewing, checking, preparing, and maintaining written and computer files. Manual dexterity is required to operate standard office, data entry, and related studio equipment.
